We only request marketplace data that is necessary to provide the services authorised by the relevant merchant.

2. How We Use Information

• Connect authorised merchant accounts to third-party marketplaces;
• Manage product listings, pricing and inventory;
• Process and route authorised orders;
• Arrange order fulfilment and delivery;
• Submit tracking and shipment confirmations;
• Provide customer and technical support;
• Protect our systems against fraud, misuse and unauthorised access;
• Meet our contractual, legal and regulatory obligations.

Marketplace buyer information is used only for permitted order fulfilment, delivery, customer service, tax or legal purposes. It is not used for ICL marketing, independent customer profiling or unrelated commercial activities.

We do not sell marketplace information or combine information from unrelated merchants to create or sell business insights.

3. Legal Basis

Where applicable, we process personal information on the basis of:

When processing marketplace buyer information on behalf of an authorised merchant, we act according to the merchant’s instructions and the applicable marketplace requirements.

4. Sharing Information

We may share the minimum information necessary with authorised service providers, including:

• Cloud hosting and technology providers;
• Contracted fulfilment warehouses;
• Parcel carriers;
• Security and technical support providers;
• Professional advisers and regulatory authorities where legally required.

Buyer delivery information is shared only with the authorised merchant’s approved warehouse or carrier where necessary to fulfil the relevant order.

Service providers must process information only for the specified purpose and are subject to appropriate confidentiality, data protection, security and deletion obligations.

We do not share one merchant’s marketplace information with another merchant.

5. Data Retention and Deletion

We retain personal information only for as long as necessary for the purpose for which it was collected.

Marketplace buyer information used for merchant-fulfilled delivery, including names, delivery addresses and telephone numbers, is securely deleted no later than 30 days after confirmed delivery, unless a specific legal requirement requires longer retention.

When a merchant revokes marketplace access or terminates our services, we stop accessing the relevant marketplace account and securely delete the associated marketplace information within 30 days, unless retention is legally required.

Financial and statutory records may be retained for the period required by UK law. Information that is not required for those records will be removed or minimised.

6. Data Security

We use appropriate technical and organisational measures to protect personal information, including:

• Encryption in transit and at rest;
• Role-based and least-privilege access controls;
• Multi-factor authentication where appropriate;
• Access logging and security monitoring;
• Secure software development and vulnerability management;
• Segregation of data belonging to different merchants;
• Staff confidentiality and security requirements;
• Incident response and secure deletion procedures.

Marketplace buyer information is not intentionally included in general application logs or used in development, testing or demonstration environments.

7. Marketplace Authorisation

We access marketplace information only after the merchant completes the relevant marketplace authorisation process.

Merchants may revoke access through the relevant marketplace account or by contacting us at support@imperialcommerce.co.uk.

Our access and use of marketplace information are subject to the applicable marketplace permissions, data protection policies and acceptable-use requirements.

8. International Transfers

Where personal information is transferred outside the United Kingdom, we use an appropriate legal safeguard, such as UK adequacy regulations, the UK International Data Transfer Agreement or another legally recognised transfer mechanism.
